Policy

1. Abstract Submission

  • Each presenter may submit only one abstract.
  • • A CNY 150 or USD 20 abstract submission fee applies and is non-refundable.
  • • A receipt/invoice will be provided upon request.

• Waivers apply to members of the Scientific Advisory Committee, Keynote Speakers, Invited Speakers, and Conveners.

3.1 Conveners

  • A maximum of four conveners is allowed for each session or event.
  • • Conveners are encouraged to attend in person, and their registration fee will be waived.
  • • Conveners may allocate invited-speaker travel support (up to RMB 2,500 per domestic speaker or USD 500 per international speaker) at their discretion, either to a single speaker or across multiple speakers.

3.2 Invited Speakers

  • • The number of invited speakers may not exceed 20% of the total number of oral presentations approved.
  • • Invited speakers will receive waived registration AND accommodation (covered for the duration of the conference), as well as travel support (up to RMB 2,500 per domestic speaker or USD 500 per international speaker), subject to allocation by the session conveners.

4. Policy for Accepted Abstracts

• Authors whose abstracts are accepted for oral or poster presentations MUST complete the registration and pay in full by 23:59 (GMT+8) November 15th, 2026, otherwise their abstracts will be withdrawn from the program.

5. Payment Methods

    Online registration fee payment will be closed on December 14th , 2026. After this date, please make payment onsite at the conference.  

• On-site payment

  • Please proceed to "Pay On-site" Counter at the registration desk at the conference center. We accept UnionPay / Visa / Master / WeChat / Alipay only.

• Participants from Chinese Institutes

  • WeChat Pay / Alipay
    Online registration fee payment will be closed on December 14th, 2026 After this date, please make payment onsite at the conference.  

  • For participants from Xiamen University, please follow the internal payment process 厦门大学内转流程.

6. Pay the registration fee

Please log in, go to "My Ticket" => Register now, choose the item fits your participation and click "Register", fill the form and click "Submit" to create the registration order, make sure your information is correct and scroll down the page to click "Pay order".

7. Attendees from Xiamen University

Follow the instruction of internal payment process 厦门大学内转流程.

The abstract submission fee and the registration fee will be collected by Xiamen University, the bank transfer information below is for attendees in China. The attendees out of China could pay via online platform.

8. Receipts / Fapiao

Receipts (applies to attendees out of mainland China)

You could go to My XMAS => My Invoice to apply.

Fapiao (applies to attendees from mainland China)

You will receive the link (via e-mail) to apply for Fapiao or you may go to My XMAS => My Invoice to apply. 
Only VAT Fapiao will be issued for the Symposium as Xiamen University does not issue VAT special Fapiao for abstract submission fee and registration fee. It will be sent by e-mail, if you do not receive the Fapiao two weeks after the Symposium, please reach the finance contact: Ms. Xinya XU, +86 592-2880181, xuxinya@xmu.edu.cn.

厦门大学对于会议费类的小额发票只开具普通增值税发票。发票将通过邮件发送,如果您在会议结束2周后未收到发票,请联系会议财务:许心雅老师,+86 592-2880181, xuxinya@xmu.edu.cn。

Notes: Xiamen University will follow first in, first out sequence to issue the Fapiao, it may take some days to receive. Please be sure to provide the full name of the legal entity and tax ID number of payment affiliation. It will be winter holiday during the Symposium, attendees who paid on site will receive Fapiao after Feburary 28th, 2025.

注意:发票开具将遵循先申请,先开具的原则,开具发票需要若干工作日,请耐心等待。请确认您提供完整的开票信息(单位名称、税号、开户行等)。因会议期间临近寒假,财务处理流程较慢,现场缴费的人员将于预计于2月28日后收到发票。

Receive the invoice (fapiao) with wrong information? Please fill the application sheet, sign and seal with the affiliation's official stamp, and scan to send it along with wrong invoice to xuxinya@xmu.edu.cn. Please keep the application sheet in case the original copy will be used.

9. Cancellation / Refund Policy

Participants from non-Chinese insitutions

Written request with email title “Cancellation request + Name” must be emailed to xuxinya@xmu.edu.cn. Registration cancellation received by November 15th, 2026 (China Standard Time) will receive a refund, 10% processing fee will be charged. No refunds will be issued for cancelled registrations after November 15th, 2026.


Participants from Chinese insitutions

Written request with email title “Cancellation request + Name in Chinese” and email attachment with attendee’s ID photo, payment record and application sheet must be emailed to xuxinya@xmu.edu.cn. Registration cancellation received by November 15th, 2026 (China Standard Time) will receive a refund, 10% processing fee will be charged. No refunds will be issued for cancelled registrations after November 15th, 2026.

10. Privacy Policy

• Personal information provided to XMAS will be used only for symposium-related purposes.

• Participants should be cautious of unauthorized emails or contact-list offers and should report any such messages to xmas@xmu.edu.cn

11. Code of Conduct

  • • XMAS is committed to a safe, inclusive, and respectful meeting environment.
  • • All participants are expected to behave professionally.
  • • Harassment, discrimination, and disruptive behavior are not permitted.
  • • XMAS reserves the right to take action if misconduct occurs.
